Managing users (typically Instructor role) can set "Special Access" in quizzes in Brightspace. When special access is created in a quiz, adjusted quiz settings are set to be released to selected individual(s). The original setup of the quiz in which the special access is created does not change.

Applying "Special Access" enables quiz settings to be adjusted for the different needs of learners. Adjustments can be made to the quiz Start, End, and Due dates; Timing settings; and the number of attempts allowed.

"Types of Access" include two choices: "Allow selected users special access to this quiz" and "Allow only users with special access to see this quiz" selections.

Edit Quiz

To adjust settings for a quiz, the user must edit the quiz.

  1. In a Brightspace course.
  2. Select "Quizzes" link on the course navigation bar.
  3. Select the quiz title to go into the quiz edit area.
    • Note: Users can also access the edit area of a quiz by selecting the caret icon associated with the quiz and then selecting "Edit" from the contextual menu.

Manage Special Access

"Special Access" settings are managed via the "Availability Dates & Conditions" area when editing a quiz.

  1. Name of the quiz being edited displays.
  2. Expand "Availability Dates & Conditions" area by selecting the arrow to the right.
  3. Select "Manage Special Access" button.

After selecting the "Manage Special Access" button, the "Special Access" page displays.

From the "Special Access" page, two types of special access are available. One option can be applied at a time to a quiz.

  • "Allow selected users special access to this quiz" is the default and used to set different access specific to learner/instructor need.
  • "Allow only users with special access to see this quiz" can be used to isolate quiz visibility and access to a subset of users. When enacted, the quiz is visible only to selected users.

Select the radio button associated with the option to be used and then select the "Add Users to Special Access" button.

The "Add Special Access to Quiz" page is where adjustments are made.

  1. The name of quiz which is being edited displays after the "Add Special Access to Quiz - " statement.
    • In this example, "New Quiz 005" is being edited.
  2. "Due Date" and "Availability" properties can be adjusted as necessary.
    • Due, Start, and End dates/times can be independently selected or not selected.
  3. "Timing" area  parameters can be adjusted.
    • "No changes" makes no change to the timing in the original quiz.
    • "No Time Limit" eliminates any timing on the quiz.
    • "Recommended Time Limit" indicates a recommended period of time for users to finish the quiz.
    • "Enforced Time Limit" sets quiz time limits and what happens when a time limit is exceeded.
  4. "Attempts" area is where number of attempts related to the quiz can be adjusted.
  5. "Users" area is where users are selected to which any "Special Access" view applies.
    • Select the checkbox to the left of a name to add the user to the "Special Access" view.
    • At least one user must be selected in order for any "Special Access" setup to be saved.
    • A "View By:" and search function is built into the "Users" area.
  6. Via the lower right of the page, managing users can adjust the amount of learners that display in the table using the "___ per page" setting.
    • Note also that the display can be resized by selecting the icon in the lower right of the page and dragging to change page size.
  7. When done with the "Special Access" setup, select "Save" to apply the changes.
    • Important: At least one user must be selected in order for the "Special Access" setup to be saved.

After the "Special Access" settings are created.

  1. When the "Save" has been made, the settings are applied and the page returns to the "Special Access" page.
  2. Details show the learner name and the "Special Access" that will be applied.
  3. Select the pencil icon to edit the "Special Access" settings and select the "X" icon to delete as necessary.
  4. Select "Save and Close" to return to the edit area of the quiz.

Note: Multiple "Special Access" setups can be applied in one quiz.  It is possible to assign one special access setup to one learner and a completely different special setup to another learner dependent on the needs of the instructor and/or learners in a course.

Manage Special Access: Enforced Time Limit

"Enforced Time Limit" sets quiz time limits and behavior related to exceeding the time limits.

When editing a quiz, if an "Enforced time limit" is applied to the quiz, the "Timing" area (on the right in the editing window) will list the details of the "Enforced time limit" in the quiz.

In the example below, a "60 minutes" time limit is displayed.

Set a Special Access "Enforced Time Limit" on a quiz via the "Add Special Access to Quiz - " page (access as above).

  1. The name of quiz which is being edited displays after the "Add Special Access to Quiz - " statement.
    • In this example, "New Quiz 005" is being edited.
  2. The "Enforced Time Limit" option is selected.
  3. In this example, the "Original quiz time: 60 minute(s)" displays and then is given a "New Time Limit" of 120 minutes by entering the number into the text box.
    • A "Multiplier of original quiz time" displays. (2 times 60)
    • An "Extra Time" shows in minutes. (60)
    • Note: Depending on original quiz timing settings, "Multiplier..." and "Extra Time" boxes can also be used to establish extended timing.
  4. The original quiz "Grace Period" displays.
    • If the "Grace Period" is to be changed, user can select the "Assign an alternative grace period" checkbox and enter the new "Grace Period" in the "...minute(s) before flagged as exceeded time limit" text box.
  5. The original quiz "Exceeded Time Limit Behavior" selection displays
    • If the "Exceeded Time Limit Behavior" is to be changed, user can select the "Assign an alternative behavior for exceeding the time limit" checkbox and an alternate behavior can be selected.
    • Select also to override attempts as necessary in the next area.
  6. In the "Users" area, select the checkbox to the left of the name of the learner(s) to which the "Special Access" will apply.
  7. After selecting at least one learner from the "Users" list, "Save" the work.

Special Access Display

Quiz areas show managing users (typically instructors) that "Special Access" has been placed on a quiz.

When on the edit page of a quiz.

  1. Looking at "New Quiz 005" edit page.
  2. A statement appears under the "Availability Dates & Conditions > Special Access" with detail related to the "Special Access" that has been placed.
    • A "key" icon appears next to the number of users with "Special Access" in the quiz.
    • Selecting the "Manage Special Access" button will show the "Special Access" page detail.

When in the "Quizzes" area of a course.

  1. In the "Manage Quizzes" area.

Quiz Accommodations

Quiz Accomodations enables managing users (usually instructors) to grant learners accommodations through the Classlist tool. An accommodation can be set to include more time to complete quizzes at the course level.

Once granted, the accommodation applies to all quiz activities in a course for that learner. The additional time can be applied in terms of quiz time multipliers (for example, 1.5x quiz time) or +minutes (for example, an additional 30 minutes) on every quiz in a course. 

Quiz-specific "Special Access" can overwrite an accommodation for any user on a quiz-by-quiz basis. In doing so, when selecting the "Save" button, a warning describing the impact of overwriting an accommodation appears.
