The Early Alert System is simplified by being a part of the Class Rolls system, hosted by ITC, that many faculty and staff already use. You log-in with your NetID (and the password you always use with your NetID).
If you are the instructor of record for your courses in Banner, you will automatically have access to Class Rolls. When logged in for the first time, you will see a message instructing you on how to navigate Class Rolls.For those of you who are not the instructor of record, you may need to request permission. Please allow 24 hours for your account to be activated. If you have an immediate student concern, do not hesitate to call the Office of Student Success at 994-7627.
If you are an instructor of record (you are assigned to your courses in Banner), you will have automatic access to Class Rolls.If you are not an instructor of record or have never logged in to Class Rolls, you may have to request access. To do this, please complete the New User Authorization Authorization instruction on the left side of the page. Please allow 24 hours for processing your request. If you need to refer a student immediately, do not hesitate to call the Office of Student Success at 994-7627.
Once you have logged into Class Rolls, you will see a page with four numbered steps.
- The current term will be auto selected.
- Select the appropriate operating system of the computer you are currently using (Windows or Mac).
- Select “Student Early Alert Report” to refer students.
- Select the course or section number you want to make referrals for to generate a list of student enrolled in that course. From there, you can select individuals you would like to refer. There is even a space to leave a comment explaining why you are referring each student (i.e. their grade, attendance, engagement).
In the Class Rolls system, you only need to provide a grade or a short explanation of your concern. For example:
If you would like to call in or email an Excel file (please make sure this is password protected – see below for instructions on how to protect your file) to firstname.lastname@example.org. Please include your name, the class rubric and section, CRN if you know it, last four digits of GID, full student name, and a short explanation of why you are referring them to our office.
Please refer to us any students who you feel need some assistance with their academic performance. This may include students with unsatisfactory grades or course progress, missing assignments, attendance issues, or lack of engagement. If you feel a student may cause harm to his or herself, please contact Counseling & Psychological Services (994-4531), University Police (994-2121), Dean of Students (994-2826), or dial 911.
You may call the office (994-7627) to check in on your students. Please allow some time for us to locate information. We will get back to you as soon as possible.We always welcome follow-up information on your student. If you have information that you would like to share on your referred students (you see improvement, no improvement, etc.), please feel free to let us know. Your feedback is an important part of ensuring the success of your students.
Yes, you may call the Office of Student Success (994-7627) to refer students. This works especially well if you only have a few students to refer. You may also email a password protected Excel file to email@example.com. The Excel must be password protected. If it is convenient for you, you may also drop off a hard copy of your Excel file in SUB 177.
Absolutely, we would be happy to take down information about your students. You can call 994-7627 to alert us to your students of concern.
If you would like to send an Excel file of your student referrals, please make sure the file is password protected.
- For PC: Once you have created your Excel file, go to the “Review” tab and select “Protect Workbook” and set your password.
- For Mac: Go to tools on the menu bar, and then go down to “Protection”. From there, select “Protect Workbook” and set your password.
If you are an instructor of record (your name is assigned to your courses in Banner), you will have automatic access and will see instructions on how to navigate Class Rolls.If you do not automatically have access to Class Rolls, follow this link to request access to Class Rolls.
