Telephone Services Telephone Coordinators Duties
Did you ever wonder what the title of Telephone Coordinator is all about? Suppose you
just took over the position and have no idea what you are supposed to do.
Here are some of the duties we at Telephone Services ask of you:
- Have authority to spend the department's money. Meaning, you must have the authority from your
Department Head to sign for work to be completed and billed to a specific index number. This is
such an important issue. Many times a department specifies someone to take this job, but then they
don't have the authority to have work billed or spend the money. Please discuss this with your
Accounting Tech or Department Head if this is a problem for you.
- Understand how to request service and complete the proper forms for requests - e.g. voicemail,
new lines, phones, new network connection, etc.
- Understand repair procedures and report problems to us immediately. If the user is going
to report the problems they experience, you need to make sure they are aware of the
proper procedure.
- Inform us of any departmental changes, including new hires, terminations, changes
in titles, degrees earned, etc.
- Understand monthly telephone bills that your department receives. Be aware of conference
calls, video conferences, etc. that might happen, and know how these are billed.
- Assist new staff members on usage of their phone, voicemail, etc. and the features that
are available to them. Make sure they have the phone books and equipment needed.
- Be able to pass these duties to the new Telephone Coordinator and be able to train them on
what you know and have learned. There is a Telephone Coordinators seminar held every January. If
