Community Service Program Coordinator

 

The Office of Student Engagement (OSE) provides and facilitates student engagement opportunities for MSU students through a variety of programs, events, services, and activities. We are THE HUB for students interested in connecting with their fellow Bobcats through student government, student organizations, programs and events, and engaging in service to the community.

Associated Students of MSU (ASMSU) is the student government association serving as the elected voice of MSU-Bozeman students.  ASMSU Student Directors within the Office of Student Engagement are responsible for managing programs for students and the campus community. Their programs and positions are paid for by student fee dollars.

The Office of Student Engagement’s Community Engagement programing is one of the four pillars of our office. These programs connect MSU students to their community by providing service opportunities locally and nationally, connections to campus and community life through involvement fairs, campus service traditions such as Convocation Saturday, Can the Griz and Rockin’ the “M”, and more. The main goals for the Community Service Program Coordinator will be to work with the Community Engagement team in OSE to provide quality service opportunities to students as well assist with the annual Can the Griz Food Drive during the fall semester. This position will be more active during certain points of the fall and spring semesters depending on events and programming needs.

Eligibility:

  • Must be an enrolled MSU-Bozeman student.

Wage:

  • Biweekly Stipend of $194.03. Total stipend $3,880.06 over academic year (including over breaks).

Duties and Responsibilities:

  • Manage the Service Saturday Program, which will require coordinating with community organizations on monthly service projects, recruiting and training group leaders, recruiting volunteers, and managing a brand-new volunteer incentive program.
  • Organize Can the Griz volunteer grocery store food drives, manage volunteers for these events.
  • Help manage tailgating volunteers during home football games during the Can the Griz Food Drive.
  • Provide support as needed for the Fall and Spring Involvement Fairs.
  • Work on starting up weekly volunteer opportunities with community partners for the 22-23 academic year.
  • Other duties as assigned.

Preferred Qualifications & Skills

  • Experience planning events and with community service is preferred.

Registered Student Organization Funding Assistant

2022-2023 Position Description

 

The OSE is looking for a Registered Student Organization (RSO) Funding Assistant. The OSE, in conjunction with the Student Organization Funding Board (SOFB) distributes funds collected by the Student Organization Fee to registered student organizations for the purposes of supporting programs, projects, and events that help the organizations succeed in meeting their goals and foster positive student development. The RSO Funding Assistant will be expected to work closely with OSE staff, the Funding Board, and the funded clubs, to pay bills, reimburse clubs for expenses and balance their allocations to maintain current and accurate financial accounting for funded student organizations.

Roles and responsibilities

This position’s main responsibility is to support the 260+ registered student organizations. However, if other areas of the Office of Student Engagement are of interest to the candidate to gain experience and skills, OSE can be flexible.

  1. Student Organization Leadership Development:
    1. Assist in managing the student organization incentive program (SOAR).
    2. Assist in planning and implementation of annual Student Organization Leadership Conference.
    3. Plan and implement monthly student organization leader and advisor trainings.
    4. Manage annual student organization awards.
  2. Communications
    1. Manage annual student organization registration process, which includes club storage and mail spaces.
    2. Compose and distribute the weekly Club News e-newsletter and other announcements.

    1. Act as consultant and guide to student organizations who need assistance planning their events/programs, which includes connecting to resources and potential collaborations.
    2. Understand university policies and procedures, to serve as a guide to student organizations.
    3. Compose and distribute travel verification letters for traveling clubs.
    4. Use information from needs assessment of student organizations to inform programming and services.
  4. Engagement Software Support
    1. Manage annual student organization registration in the engagement tracking software.
    2. Assist Program Manager maintaining and updating processes in the engagement tracking software.
    3. Strive to become an expert in and “go-to” for registered student organizations in utilizing the tool.
  5. Event Planning & Management
    1. Coordinate two Involvement Fairs, which brings nonprofits and student organizations to campus to help recruit volunteers and members.
  6. Customer Service
    1. Provide customer service within the Office of Student Engagement, greeting walk-in traffic as necessary, including meeting with students regarding how to get involved on campus.

Field-based skill description

The GA in the Office of Student Engagement will gain hands-on experience working one-on-one work with college students. The 260 registered student organizations at MSU represent a variety of viewpoints, interests and cultures. Working in the OSE will allow the GA to interact with students from all backgrounds. They will also develop a deeper understanding of university policies and procedures and how to relay often complex information to students in a relatable way. The GA will also have great opportunities to build new programs and assess needs of student organizations, allowing them to put research and knowledge into practice to support our growing student organization population at MSU.

Transferrable/portable skill description

This position will help the GA develop facilitation skills for presentations and trainings, program development and management, interpersonal skills, problem solving, communication (verbal and written) skills and understanding best practices in the field of student affairs.

  1. Program Management: 
    1. Assist with the planning and implementation of the MSU Debut program.
      1. Attend all MSU Debut events: late August-mid September (Fall Debut) and mid January-early February (Spring Debut)
    2. Serve on and co-chair the MSU Debut Executive Committee.
    3. Facilitate the recruitment and training of 200+ event volunteers.
    4. Assist in management program budget.
  2. Marketing and Outreach:
    1. Assist in established marketing methods and help create new avenues for marketing.
      1. Work collaboratively with OSE Marketing team to effectively market program. Duties may include:
        1. Pre-communication coordination with Admissions
        2. Residence Hall advertising
        3. Promo video direction and oversight
        4. Calendar management of MSU Debut events on MSU calendar
        5. Management of MSU Debut website and social media
    2. Oversee 30 Days of Bozeman project
      1. Work with external partners in the Bozeman community.

    1. Assist in evaluation and data collection for MSU Debut program

Field-based skill description

The GA in the Office of Student Engagement will gain hands-on experience

This will involve working with the Student Engagement and Leadership Advisor to plan more than 30 large-scale campus events, coordinate more than 200 campus volunteers, and assess the program for further and future development. Through this experience, the GA will develop a deeper understanding of university policies and procedures, relationship management with internal and external partners, and program evaluation and assessment. This opportunity will allow the GA to put research and knowledge into practice to support student involvement, sense of belonging, and retainment at MSU.

Catapalooza Program Coordinator

2022-2023 Position Description

Catapalooza is an annual MSU Debut event that is held on Montana State University's Centennial Mall and Romney Oval. This event is coordinated by the Office of Student Engagement and will be held on Monday, August 22, 2022. The goal of Catapalooza is to expose our new and returning students to the array of campus and community resources, clubs, organizations, and businesses. Although an exact count is difficult to estimate, we have hosted up to 350 vendors who were visited by thousands of students, their families, our faculty, staff, and local community members each year.

 

Eligibility: 

  • Must be an enrolled MSU-Bozeman student.

 

Wage: $13/Hour

 

Duties and Responsibilities:

  • The Program Coordinator will review all Catapalooza booth registrations.
  • Maintain and respond to Catapalooza emails in a timely manner.
  • Act as the point of contact for all Catapalooza questions.
  • Manage table and chair rental with Gallatin Event Rental.
  • Collaborate with MSU Sanitarian to organize food safety training to Catapalooza vendors.
  • Place Catapalooza vendors on Catapalooza vendor map.

Bounty of the Bridgers Intern

2022-2023 Position Description

 

The mission of the Bounty of the Bridgers Pantry (BoB) is to eliminate food insecurity in the MSU community by providing consistent, accessible food resources across campus.

Bounty of the Bridgers is a nonprofit, on-campus food pantry that was started in 2017 to battle food insecurity among college students at MSU. The pantry serves the entire MSU community including faculty, staff, and students. Since BoB’s inception, it has distributed almost 13,000 lbs of food and had over 1,600 client interactions.

 

Position:  Bounty of the Bridgers Food Pantry Internship

 

Pay:  $10.50/hr

 

Hours: 9 to 12 hours a week, especially during pantry hours of  Wed 10-2, Thurs – 3-6:30, Saturday 10-3:30 with potential for more as needed. Preference is given to interns that can consistently commit to hours during pantry operating times.

 

Requirements:

  • Must be able to lift up to 50 lbs consistently (handling food items)

  • Assist in managing the campus food pantry (Bounty of the Bridgers) during operating hours.

    • Pantry inventory and organization
    • Interactions with new and returning clients
  • Conduct food rescue on Saturdays
    • Manage food rescue routes and schedule
    • Screen bread and produce to ensure viability for human consumption
    • Interact with store staff
    • Train and manage volunteers to help with this aspect
  • Direct Grab and Go Snack Bag Program
    • Manage ordering, construction, and distribution of snack bag programs around campus
    • Record status of each snack bag station and communicate with university staff
  • Manage volunteers for pantry
    • Aid student clubs and organizations who want to contribute to the mission of BoB
    • Train and manage returning volunteers
  • Lead and assist pantry innovation as the program continues to grow

The Marketing Team is comprised of seven student employees (PR Director, 3 Graphic Designers, 2 Marketing Assistants/Associates, 1 Media Productions Director, 1 PACE Marketing Associate).

The Marketing Assistant reports to the Marketing Associate and will be supervised by the ASMSU Public Relations Director. The Marketing Team is advised by the OSE Communications and Events Specialist and ASMSU Vice President.

  • Maintain and grow campus traditions. This Director will take the lead on planning, executing, and assessing the entire homecoming program catalog.   • Entertainment Director: 
  • Bring industry leading entertainment talent to MSU. This director will book musicians, artists, magicians, comedians, etc. in addition to negotiating contracts, venues, and hospitality arrangements for entertainers. This director also serves as liaison for talent agents and booking companies. 
  • Dynamic Events Director: 
  • Innovate and engage students through unique events. This director will plan various on and off campus events that ride the leading edge of student trends and campus interest.   • The Arts & Exhibits Assistant Director assists the Arts & Exhibits Director with implementing various exhibits in the Exit Gallery, on and off campus throughout the year.

  • The Elections Director oversees running the student body elections for Montana State University

Arts & Exhibits Student Director

Duties and Responsibilities:

  • The Arts and Exhibits Director is responsible for showcasing visual arts exhibits by locally, regionally, and nationally known artists.
  • Other duties include promoting Arts & Exhibits events, maintaining gallery space, coordinating installation, exhibition, reception, and de-installation of all art exhibits, monitoring attendance at gallery exhibits and events, and leading the biannual MSU Student Art Market with the Assistant.
  • Must conduct a call for entry, create a selection committee, review applications, and select artists for exhibitions in The Exit Gallery and the Information Technology Center in the Renne Library. Also conduct two Calls for Entry (one per semester) for Art Market and a Call for Proposals for spring visiting artists.
  • Collaborate biannually with other departments (Fall) and guilds through a proposal platform (Spring) on campus to select professional visiting artists to engage with MSU students through demonstrations, lectures, and receptions, as well as host an exhibit of their work in conjunction with their visits.
  • Create social media and marketing action plans to be implemented by Assistant Director. Create Art Market action plans and join assistant in implementing Art Market administration.
  • Promote the gallery space and arts as a campus resource.
  • Hire, manage, and supervise student employees of the Exit Gallery. Meet regularly with Assistant Director to discuss employees, assistant duties, and any concerns.
  • Managing a budget which includes routine presentations to the ASMSU Senate and Finance Board.
  • Meet with Senate liaison regularly to discuss program events and develop communication.

Art Gallery Attendant

2022-2023 Position Description

 

Work Schedule: Flexible, depending on academic schedule. Gallery attendants work approximately 2-3 hours a day for 10-15 hours a week between the hours of 10 a.m. and 6 p.m.   A regular shift schedule will be set and attendants are expected to follow the regular schedule unless there is an emergency or they have contacted another attendant with available hours to cover their shift.

Community Engagement Program Director

2022-2023 Position Description

 

The Office of Student Engagement’s Community Engagement programing is one of the four pillars of our office. These programs connect MSU students to their community by providing service opportunities locally and nationally, connections to campus and community life through involvement fairs, campus service traditions such as Convocation Saturday, Can the Griz and Rockin’ the “M”, and more. The goal for the Community Engagement Program Director is to support and sustain these existing programs in coordination with Program Coordinators while also working with the Program Manager to support the creation of new programming opportunities

Eligibility:

Duties and Responsibilities:

  • The ASMSU Student Director of Diversity and Inclusion is responsible for promoting and actively working towards an inclusive and welcoming environment within ASMSU and the MSU campus.
  • The Director will foster partnerships with organizations at MSU and within the Bozeman community to enhance and expand diversity and inclusion awareness, services, programming, and education.
  • Organize an engaging speaker event and the Annual Diversity Symposium at MSU in the spring.
  • Responsible for managing a budget that includes routine presentations to the ASMSU Senate and Finance Board, in addition to advocating for any supplemental funds that may be needed.
  • In order to maintain a strong relationship between the elected officials of the student body, the Director will meet with their liaison no less than twice a month keeping them informed of upcoming events and initiatives.
  • The Director is encouraged to schedule bi-monthly meetings with the Diversity and Inclusion Student Commons Program Manager for formal mentorship opportunities pertaining to diversity and inclusion best practices and efforts in an institutional context.
  • Will be asked to attend bi-monthly program director meetings.
  • The Director is also encouraged to sit on student and/or faculty led committees that apply to the overall mission and goals of the position, both within the office and across campus as they arise.

Business Manager
2022-2023 Position Description

Eligibility:

Duties and Responsibilities:

  • The Business Manager is the business and administrative position supporting the business operations of ASMSU.
  • Holds a minimum of 7 office hours per week.
  • Works closely with the Director of Operations, the ASMSU President and Vice President, and ASMSU Program Directors to manage ASMSU business operations.
  • Attends weekly Senate meetings and presents monthly spending updates to Senate.
  • Tracks and reviews monthly spending of all ASMSU programs.
  • Tracks and revies monthly spending of mini-grant programs.
  • Organizes and manages the spring semester budgeting process for the following year.
  • Additional duties include making weekly deposits, reconciling, and attending weekly Administrative, Executive, and Finance Board meetings.

Duties and Responsibilities:

  • The Films Director is responsible for all aspects of operating the ASMSU Procrastinator Theater.
  • The position is open to all majors, while experience with audio/visual technology and video editing software is preferred.
  • Basic requirements include having a passion for movies, taking pride in entertaining audiences, being capable to work both independently and in team environments, and acute attention to detail.
  • Responsibilities include making all programming decisions, working with film distributors to obtain rights for film exhibition and negotiate contracts, managing and scheduling a staff of Theater Operators, developing strategies for marketing communications and effectively executing those plans, managing and maintaining theater technology, facilities, and resources in collaboration with SUB Administration, Conference and Events Services, and third party contractors.
  • The Films Director also plans and organizes special events in the theater – both independently and with campus and community organizations.
  • The Films Director will be responsible for hiring and managing a minimum of 6 associates to help with the production of the theater.
  • The Films Director is responsible for managing a budget which includes routine presentations to the ASMSU Senate and Finance Board.
  • The Films Director will be asked to attend bi-monthly program director meetings.
  • The Films Director will be advised by the OSE Assistant Director and supervised by the ASMSU Vice President.

Theatre Attendant

2022-2023 Position Description

 

Work Schedule: Flexible, depending on academic schedule. Theatre attendants work approximately 4-6 hours a day for 10-15 hours a week between the hours of 6pm and 11:30pm   A regular shift schedule will be set and attendants are expected to follow the regular schedule unless there is an emergency or they have contacted another attendant with available hours to cover their shift.

The Marketing Team is comprised of seven student employees (PR Director, 3 Graphic Designers, 2 Marketing Assistants/Associates, 1 Media Productions Director, 1 PACE Marketing Associate).

The Marketing Assistant reports to the Marketing Associate and will be supervised by the ASMSU Public Relations Director. The Marketing Team is advised by the OSE Communications and Events Specialist and ASMSU Vice President.

 

Work Schedule: Flexible, depending on academic schedule. 17-19 hours/week during academic year (excluding university holidays & breaks).

 

Employment Start Date: August 1, 2022

  • The PR Director will manage the Marketing Team (3 Graphic Designers, 2 Marketing Assistants/Associates, 1 Media Productions Director, 1 PACE Marketing Associate), will manage the creation and purchasing of Office of Student Engagement promotional items, will table at promotional events such as Orientation, MSU Friday, and Catapalooza, will assist other Office of Student Engagement Program Directors in the promotion of their events, and will manage all Office of Student Engagement social media accounts (Facebook, Instagram, & Twitter).
  • The Public Relations Director will create a comprehensive and consistent marketing strategy to promote all Office of Student Engagement and ASMSU programs, activities, and events to ensure MSU students are fully aware of the services and programs that the office provides.
  • The Director will strive to centralize Office of Student Engagement branding efforts to establish a general understanding of the overall mission of the organization.
  • The PR Director must be proficient in email, photography, Facebook/Meta Ads, and social media including Instagram, Facebook, and Twitter. Experience with Adobe Creative Suite recommended.
  • The Director will be responsible for hiring Marketing Team members each year.
  • The Director is responsible for managing a budget which includes routine presentations to the ASMSU Senate and Finance Board.

  • The Media Productions Director must be skilled in photography, videography, 2D animation, organization of their assets, and communication with the other members of the Public Relations team (especially the Public Relations Director) and their clients.
  • The Media Productions Director must be proficient in video editing software (Premiere Pro, Final Cut Pro, Avid, etc.), photo editing software (Photoshop, Lightroom, etc.), and animation software (After Effects).
  • The Media Productions Director will be expected to create promotional videos and graphics for events throughout the year (Trivia Nights, Contracted Entertainers, Etc.).
  • The Media Productions Director will also produce recap highlight videos of larger events (MSU Debut, Homecoming, Spring Concert, etc.).
  • The Media Productions Director will be expected to attend all or nearly all of the events hosted on campus to capture photos and videos that will be used in recaps and promotional videos.
  • The Director will be supervised by the ASMSU Public Relations Director and advised by the ASMSU Vice President. The Marketing Team is advised by the OSE Communications and Events Specialist.

  • One graphic designer will be selected as the “Lead Designer” and will be responsible for managing graphic requests and delegating assignments to the other graphic designers. They will be the point of contact for all graphic requests and will meet with the PR Director on a regular basis.
  • The Graphic Designers will be supervised by the ASMSU Public Relations Director and advised by the ASMSU Vice President. The Marketing Team is advised by the OSE Communications and Events Specialist.
  • The Office of Student Engagement Graphic Designer provides strategic design to appropriately convey the office’s branding for a wide variety of subjects.
  • The designer’s knowledge should include an understanding of typography, attention to detail, proof reading, and an understanding of the Adobe Creative Suite (Illustrator, InDesign, and Photoshop).
  • The Graphic Designer will work with student organizations to meet their graphic design needs including posters, Instagram and tv assets, logo designs, and shirt designs.

 

Preferred Qualifications & Skills:

  • Knowledge and skills of videography and/or photography may also be beneficial.
  • Willing to learn Montana State University’s CMS web editing software.

Mission:
ASMSU is the student government association serving as the elected voice of the students of Montana State University-Bozeman with the mission of enhancing the overall educational experience of students by providing leadership and employment opportunities for students and by providing diverse student oriented non-academic programs and services cost effectively through responsible fiscal management of student activity fees.

ASMSU Senate is the legislative body of the Associated Students of Montana State University (ASMSU). All legislative powers of ASMSU are vested in the Senate. All enrolled students, taking more than 7 credit hours, are welcome and qualified for a seat on the Senate. Voting membership consists of 20 voting Senators and the Senate President who can only vote to break ties.

Do you love lighting and sound production? ASMSU hosts exciting events that need your help. Be part of the team that runs the tech to make our events possible-and see the show for free! The ASMSU Productions Technicians are responsible for lighting and audio equipment setup, layout, and implementation of ASMSU/PACE Board events like concerts, comedy shows, guest speakers, and more. This team will work together in a collaborative fashion to support safe and successful events.
