Current 4-H Year Meeting Minutes

 

Call to Order

The meeting was called to order by President, Joe Leggett.

Minutes/Correspondence:

Misty moved to approve the minutes as read. Coya 2nd the motion.

 

Treasurer’s Report:

  • Jody reported that we have $3,045.57 in our Midway USA account. The balance sheet says we have $5,902.51 and the bank says that we have $8082.36 in our account.
  • When the May bank statement comes out we will reconcile the account to see what checks are still out there that need to be cashed.

    • Allyssa let us know that she will be out of the office from Monday, June 5th – August 15th. If we have any questions we are to reach out to Rose for help. The office will be closed on July 4th and our next meeting will be in September.

    • Lead Instructors need to start planning with the other instructors for the upcoming year.

    • Pistol will be meeting for 7 weeks next year:
      • Air: October 26-December 14 from 4:30-6:00
      • .22: January 18-February 29 from 4:30-6:00
    • Charging $2/box for .22 ammo next year was also brought up

    • Starting in October 2023, Rose will only be doing Ag, and Allyssa will be doing all aspects of the 4-H program.

    • Joe let us know that in October that he will be stepping down from the committee and only be doing pistol instruction.

    • Victoria let the committee know that the JDs would like to have both archery and air gun at camp this year.

    • Samaria moved to buy 1 case of Champion .22 ammo and 1 case of Standard .22 ammo for $525 from the federal ammo program. Coya 2nd. Motion passed by vote.

Allyssa let us know that she sent out an email letting everyone know that we are looking for volunteers for our committee and instructors for shooting sports as a whole.

Fundraising Committee

  • We will be raffling off the rifle at the gun show in April.
  • We will sell tickets for $10/ticket and sell 100 tickets.
  • Coya will work on getting the tickets ready

Discipline Reports

Rifle

  • We have one person going to state in air rifle and 2 going to state in .22 rifle
  • Joe would like to see the season reduced by 2 weeks and having only 1 session.

Pistol

  • Going good
  • 1 person going to state in .22 pistol

Western Heritage

  • Lindley’s are moving so Allyssa is trying to reach out to Teton county to see if our kids can finish out this year with them.
  • There are currently 9 kids involved in the project

Archery

  • Going good
  • We have 9 kids going to state.
  • Coya would like to see the nets cleaned at the end of the season. Allyssa said to check in with National Laundry to see if they could do it.

Hunting

  • Feb. 22 meeting was cancelled but Samaria is looking at having it rescheduled with FWP

Shotgun

  • April 6 – May 11 from 5:30-6:30 at the trap club
  • Registration will go out in March
  • $20 registration fee

Old Business

MRSA Storage

  • Joe found a medal cabinet for about $279 at North 40 and will look at picking it up.

Live Tournament Recap

  • No contract signed yet
  • We might have a small profit from tournament depending on wifi cost
  • Coya would like to send thank-yous for the volunteers and gift cards who helped with the tournament.
  • Coya also stated that we should have had the medal backers covered with cardboard.

Record Book Check Date

  • Coya and Samaria decided that we would have the kids get their books to the office by July 5 and we would go over them on July 6th at 2 p.m.

New Business

Foundation Travel Reimbursement

  • Foundation decided to up the travel reimbursement from $800 to $1200.
  • They will take 75% of each of the members expenses and then divide that money among them as best as they can. Everyone will get part of their 75% back but not all of it.

Year Length

  • Coya brought up that she would like to see the rifle and pistol season shortened by 2 weeks. Joe agreed with this- He would like it to end before state.
  • It was also stated that we should maybe look at changing the look of the archery season also.

Election of Officers

  • We need to elect a new Vice-President & Treasurer
  • Joe decided to table this until later.

Coya moved to remove Tammy and Jeff Lindley from the bank account and to put Joe Leggett on the checking account. Also to have Samaria Kirby to be given online banking privileges until a treasurer can be elected. Victoria 2nd the motion. Motion passed with a vote.

  • Debit card arrived but no code to activate it
  • Get bank statements sent to both Jeff and [email protected]
  • Tammy & Jeff organized the treasurer’s records and found that 85% of the information that we should have in the binder is missing. They will continue to work on filling in the gaps. They will work with Lisa and the office to get this information.

Allyssa let us know that Ben will be leaving on January 13th, and they aren’t going to be filling that position as of now. On January 16th the office will be closed. We need to work on getting the volunteer training done on Z-Suites. Also she told us that she is expecting in June.

Fundraising Committee

  • Joe ordered the 10/22 rifle that we will use for the Gun Show raffle.
  • We will make our own tickets for the raffle. Allyssa will send us a template that can be used.

Sponsorship Committee

  • We received a $900 donation to be used in the purchase of tablets for Archery.
  • We also received a $500 general donation.

    • Victoria let us know that a 6X4 graphic would be around $691 for both sides.
    • Tammy moved to approve paying up to $750 for the trailer graphic. Jeff 2nd the motion. Motion passed with a vote.
    • Victoria will send our graphic in that we want to be used on the trailer and get the ball rolling to have it done.
  • Drop Box
    • Joe let us know that he priced one at around $400 at North 40.
    • There was a lot of discussion on if that is truly what we wanted or if we wanted to go a different route.
    •  Joe is going to continue to price safes, drop boxes, and cabinets. He will bring his findings back to the next meeting.

  • Live Tournament
    • Registration went out to all counties.
    • Rose will be on call if Allyssa must be in Billings on that day
    • Expo Park is sending over the contract
  • Inventory Sheets
    •  Jeff asked that a copy of each discipline inventory sheet be sent to him so he can put it in his records.
  • Foundation Discussion
    • Allyssa let us know that it was brought to the foundations attention that they should up the amount that is given out to the members for attending the State Shooting Sports event.
    • Right now, $800 is allotted for those members (registration/mileage/hotel)
    • This may go up or it may stay the same.
    • This was brought to the foundation board without the knowledge of the committee.
